Best Notion Templates for Small Business (2027, by Industry)

Short answer: the best Notion templates for small business in 2027 are the ones built around the work your business repeats every week. A bookkeeper needs month-end closes and document chases. A landlord needs units, leases and rent. An online seller needs products, purchase orders and real profit after fees. A general "business dashboard" rarely fits anyone for long, so this guide is organised by industry: pick your section, compare the templates, and use the do-it-yourself tips if you would rather build parts of it yourself.
We are Create Digital Tools, a small studio that designs and builds templates for Notion, along with spreadsheets and planners. We have made more than $25,000 in Notion template sales and served 1,500+ customers, and everything below comes from the templates we sell and the questions buyers ask us before they choose. Every paid template in this guide works on the free Notion plan, comes with a Start Here setup guide and fictional sample data, and is delivered as an instant download with a Duplicate link.

How to choose a Notion template for your business
Most people choose a template by its cover image. That is how you end up with a beautiful dashboard you stop opening after two weeks. A better approach is to check the template against how your business actually works. Here are the five questions we ask buyers when they write to us unsure which template to pick.
1. What is the main "thing" you manage?
Every business has a core record: a client, a matter, a job, a property, a product, an event, an episode. In Notion that core record becomes the central database, and everything else (tasks, invoices, documents, time) links to it. If a template’s central database doesn’t match your core record, you will spend weeks bending it. A law firm needs matters, not "projects". A landlord needs units and leases, not "clients". Read the database list on the product page before anything else.
2. What do you need to know every Monday morning?
Write down three questions you want answered at a glance. Who owes me money? Which deadlines are this week? Which products need reordering? A good template answers those with filtered views on its dashboard, not by making you open five databases. If the product page shows "overdue" flags, "days left" countdowns or "needs chasing" views, those answers are built in.
3. Does it calculate, or only store?
A list of invoices is storage. An invoice list that shows the balance, days overdue and an automatic status is a tool. The difference comes from formulas and rollups. When you compare templates, look for words like "calculated for you", "rolls up" and "works out", and check that the maths covers the numbers you care about: profit per unit, retainer hours left, fee burn, rent balance, weighted grades.
4. Will it work on your Notion plan?
All of the paid templates in this guide work on the free Notion plan. A few include native Notion automations (for example, stamping a "paid" date when a status changes) and some include several chart views. Database automations need a paid Notion plan, and chart views may be limited on the free plan; when that is the case, the template still works and you make the same change by hand in a couple of seconds. Each product page tells you which features need a paid plan.
5. Is the setup documented?
A template without instructions is a puzzle. Every template we sell has a Start Here page with setup steps, a routine (daily, weekly, monthly) and an FAQ, plus fictional sample data you can see working before you delete it. Many also have a full video walkthrough, which we have embedded below where it exists.
Free vs paid Notion templates: which do you need?
Free templates are a great way to learn Notion. Paid templates earn their price when they save you the hours it would take to design the database structure, write the formulas and test the relations yourself. Here is an honest way to think about it.
| Free templates | Paid templates | |
|---|---|---|
| Best for | Learning Notion, personal use, a single simple job | Running a business process with money, deadlines or clients attached |
| Structure | Usually a few databases, light linking | Several connected databases with relations and rollups |
| Calculations | Few or none | Formulas for status, totals, flags and countdowns |
| Setup help | Varies | Start Here guide, sample data, often a video tour |
| Risk | None, apart from your time | The price, so read the database list first |
Our suggestion: start with the Free Notion Starter Kit if Notion is new to you. It includes five beginner-friendly templates (Everyday Life v2, Life OS, Daily Standup, Project Management for Beginners and Academic Planner), a quick-start guide with a 7-day plan, and a 20% off code (STARTER20) you can use on any paid template, spreadsheet or planner in our store. For teams, our free Company Handbook and Employee Directory templates are useful on their own. Once you know which process is costing you the most time, buy the template built for that process. Our longer piece on how to use Notion templates, free vs paid goes deeper, and if you are comparing shops, see where to buy Notion templates.
Money, sales and back office: Notion templates every small business owner needs
Whatever your industry, three back-office jobs show up in every small business: knowing your numbers, following up on sales, and keeping track of people. These templates cover them. If you run a specialised business, you may still want one of these alongside your industry template.
Business Finance HQ: know your numbers every month ($24)
The problem it solves: month-end arrives and nobody is sure whether the business made money, who still owes you, or how much to put aside for tax. Bank apps show transactions, not profit, and spreadsheets go stale.
Who it’s for: freelancers, solo founders and small service businesses that invoice clients and want a monthly profit picture without accounting software complexity.
What’s inside:
- An "At a glance" row of four live tiles: revenue this month, costs this month, profit this month and owed to you, always showing the current month with no filters to change.
- Three charts: where your costs go by category, profit month by month, and billed per client.
- Income linked to invoices, categories, months and accounts, with a suggested tax set-aside per payment.
- Expenses with vendor, category, receipt upload, a tax-deductible checkbox and a "receipt missing" flag.
- Invoices with an automatic status (Draft, Open, Part paid, Overdue, Paid), balance and days overdue; partial payments are supported.
- Monthly P&L, budget categories with On track / Close to limit / Over budget status, a quarterly tax set-aside estimate, subscriptions and bills, and account balances.
Do it yourself in Notion: the "days overdue" number is a simple formula. In your Invoices database add a formula property such as if(prop("Status") != "Paid" and prop("Due date") < now(), dateBetween(now(), prop("Due date"), "days"), 0). Then create a linked view of Invoices on your dashboard, filtered to "Days overdue is greater than 0" and sorted descending, and you have a chase list.
This is an organising tool, not financial, tax or accounting advice.
Budget Command Center: department budgets before the invoice arrives ($29)
The problem it solves: as soon as a business has more than one team spending money, the owner loses sight of what is planned, already spent and committed. Purchase requests live in email and subscriptions renew unnoticed.
Who it’s for: growing small businesses, operations leads and finance managers who give departments a budget and need to track it.
What’s inside: an at-a-glance dashboard with four tiles (budget this quarter, spent this month, committed, requests waiting for approval) and three charts; Departments & Budgets with planned, spent, committed and remaining amounts and an on track / at risk / over budget flag; Budget Lines per department, category and quarter with variance; a Spend Log that flags unapproved, unlinked or receipt-missing items; Purchase Requests from Draft to Received, where approved requests reserve budget as committed spend; Vendors with contract-end alerts; Subscriptions with seats used, cost per seat and a renewal countdown; and Quarters & Forecast with a pace check that warns when spend runs ahead of the calendar. Built-in automations stamp submitted and decision dates and roll a renewed subscription’s date forward (automations need a paid Notion plan).
Do it yourself in Notion: "remaining" budget is a relation plus a rollup. Relate Spend Log entries to a Budget Lines database, add a rollup on Budget Lines that sums the related Amount, then a formula prop("Planned") - prop("Spent"). Format the result as a progress bar with a second formula that divides spent by planned and choose "Bar" in the number display options.
Small Business Back-Office Kit: staff, money, sales and meetings ($45 for 7 templates)
The problem it solves: the owner’s head stops being a good enough record. A new hire asks about leave and nobody knows the policy; a lead goes cold because nobody followed up; meetings end without clear actions.
Who it’s for: owners of small businesses that are hiring or have just hired, and want the back office organised before the team grows.
What’s inside (7 templates): HR Management, Recruitment & Onboarding (applicants, onboarding, leave, reviews, training; $24 on its own), Finance Tracker for Business (income by source, expenses, ledger, cash flow; $29), Sales CRM (leads, deals, accounts and client directory; $19), Employee Directory (free), Company Handbook (free), Meeting Minutes (free), and 2,000 ChatGPT Business Writing Prompts ($9). Separately $81; in the kit $45.
Do it yourself in Notion: turn meeting action items into real tasks with a database template. In your Meeting Minutes database, create a template that already contains a linked view of your Tasks database filtered to "Meeting is this page" (Notion lets you filter a linked view in a template by the page it is created from). Every new meeting page then shows only its own action items.
Sales CRM for Business: leads to accounts ($19)
The problem it solves: follow-ups slip because the pipeline lives in an inbox. You don’t know your pipeline value or which deals are close to closing.
Who it’s for: freelancers, founders, agencies and small sales teams who want a simple CRM in Notion rather than another subscription.
What’s inside: leads that convert into opportunities, deal stages from Qualification and Discovery to Proposal, Negotiation and Closure with value and probability, an activity log for calls, emails and meetings, a sales dashboard with pipeline value, upcoming deals, overdue tasks and win ratios, an Accounts database with relationship history and total value, a client directory and a Products & Services catalogue for standard pricing.
Do it yourself in Notion: weighted pipeline value is one formula, prop("Value") * prop("Probability"), with Probability stored as a percent. Add a board view grouped by Stage and turn on the column calculation "Sum" for the weighted value, and each stage shows what it is realistically worth. Our Notion CRM template guide walks through the full build.
HR Management, Recruitment and Onboarding ($24)
The problem it solves: missed onboarding steps, forgotten performance reviews and lost equipment records once you have a handful of employees.
Who it’s for: HR managers, operations leads and founders who need a people workspace without enterprise HR software.
What’s inside: an applicant tracking pipeline, an employee database with profile records, an onboarding checklist per new hire, a leave and time-off tracker, performance review templates and schedule, a training tracker, a benefits and compensation manager, an equipment and asset inventory, and an HR dashboard. Pair it with the free Employee Directory and Company Handbook.
Do it yourself in Notion: use a database template with a checklist for onboarding, and set it as the default template of the Onboarding database. Each new hire then starts with the same steps, and a formula counting checked boxes can show onboarding progress.
Professional services: Notion templates for bookkeepers, law firms, therapists and consultants
Professional services businesses sell time and expertise, and they carry deadlines with real consequences. The templates in this section are built around those deadlines. They are organising tools: they are not legal, tax, accounting or medical advice, and you should always follow your professional rules and the requirements that apply where you practise.
Bookkeeping Firm OS: month-end closes and document chases ($39)
The problem it solves: with a dozen or more clients, every month-end becomes a juggling act: which closes are done, which clients haven’t sent statements, which filings are due and which invoices are unpaid.
Who it’s for: independent and virtual bookkeepers and small bookkeeping firms looking after roughly 3 to 40 clients.
What’s inside:
- A dashboard with three charts (clients by package, close status, invoices by status), a "Go to" menu and sections for month-end close, waiting on clients, deadlines, billing and clients.
- Clients with package, monthly fee, software, entity type and fiscal year end, plus hours this month, billed total, open requests and onboarding progress.
- Monthly Close: one row per client per month with a seven-step checklist (bank feeds, bank and card reconciliations, categorising, payroll, AR/AP review, reports sent), close progress and an overdue flag.
- Onboarding, Document Requests with a "Needs chasing" flag, a Work Queue with a "Waiting on client" view, a Time Log with billable amounts, Invoices with days overdue, and Tax & Filing Deadlines with days left and a calendar.
- Client pages that show that client’s closes, requests, invoices and deadlines together.
Do it yourself in Notion: a checklist-style progress bar is a formula over checkbox properties. With seven checkboxes, a formula like (toNumber(prop("Bank feeds")) + toNumber(prop("Reconciled")) + ...) / 7 formatted as a percent with the "Ring" or "Bar" display gives you close progress at a glance. Read more in our Notion template for bookkeepers guide.
This is an organising tool, not accounting, tax or legal advice. Check filing deadlines with the relevant tax authority.
Law Firm OS: matters, deadlines and billable time ($19)
The problem it solves: deadlines, hearings and unbilled hours scattered across a calendar, a spreadsheet and memory. For a solo practice, a missed date or forgotten time entry is expensive.
Who it’s for: solo attorneys and small firms who want their practice organised without building it from scratch.
What’s inside: nine linked databases (Clients, Intake, Matters, Deadlines & Hearings, Documents & Contracts, Time Entries, Invoices, Tasks, Knowledge Base). Your day starts with upcoming deadlines and hearings, each with days left and an alert as the date gets close. A court and deadline calendar shows every hearing and filing. Matters sit on a board by status, and opening one shows its key dates, documents, time and invoices together. New inquiries move through an intake pipeline with follow-ups flagged, unbilled time shows hours not yet invoiced, and time entries are priced at each matter’s rate.
Do it yourself in Notion: an "alert as the date gets close" is a formula such as if(dateBetween(prop("Date"), now(), "days") <= 7, "Due within 7 days", ""). Add a linked view of Deadlines to your home page filtered to that alert and sorted by date. See our article on the law firm Notion template for a fuller tour.
An organising tool, not legal advice. Always follow your court rules and jurisdiction’s requirements for deadlines.
Therapist Practice HQ: a calm private-practice workspace ($49)
The problem it solves: enquiries in email, intake forms in a folder, session notes in a document, invoices somewhere else, and continuing-education hours forgotten until renewal time.
Who it’s for: therapists, counsellors, psychologists and coaches in private practice.
What’s inside: nine connected databases: Leads & Inquiries (referral source and consult outcome), Clients, Intake Forms (sent, received, reviewed), Treatment Plans (goals, modality, review dates), Appointments (calendar and list), Sessions (notes, timeline and a progress chart), Billing (invoices, paid/unpaid and a revenue chart), Documents & Consent Forms with expiry alerts, and CE Tracking for continuing-education hours per renewal cycle. An enquiry becomes a client, the client gets an intake and a treatment plan, and each appointment opens its session note and its invoice.
Privacy note: the template is designed as a HIPAA-conscious workflow structure. Check your own regulatory obligations and your Notion plan before storing identifiable clinical records.
Do it yourself in Notion: expiry alerts on consent forms are a date property plus a formula, for example if(dateBetween(prop("Expires"), now(), "days") < 30, "Renew soon", "OK"). Our therapist Notion template post shows how the databases connect.
An organising tool, not legal or medical advice.
Consulting Studio OS: engagements, budget burn and deliverables ($19)
The problem it solves: consultants sell statements of work, but most tools track tasks. You can’t see how much of a fixed fee you have burned, which deliverables wait for client approval, or what is still unpaid.
Who it’s for: independent consultants and small consulting firms in strategy, marketing, operations, HR and IT, selling fixed-fee, hourly or retainer engagements.
What’s inside: a front dashboard with Today, This week, Pipeline, Engagements, Money and Knowledge sections; nine connected databases (Clients, Opportunities, Engagements, Deliverables, Time Log, Meetings & Notes, Action Items, Invoices, Knowledge Library); a pipeline board with weighted value; engagement budget burn with hours remaining, burn %, budget health (Healthy, At risk, Over budget) and effective hourly rate; a deliverable approval board; meeting notes with decisions, risks and linked action items; invoices with automatic status; and a knowledge library for frameworks and SOW templates.
Do it yourself in Notion: effective hourly rate is a rollup and a formula. Roll up the sum of hours from Time Log onto each Engagement, then prop("Fee") / prop("Hours logged"). Seeing that number fall below your target rate mid-project is the earliest warning that scope is creeping.
Freelancers, agencies, coaches and creators
Service businesses run by one person or a small team share a pattern: several clients at once, recurring work, time that has to be billed and invoices that have to be chased. The difference between the templates below is the shape of the work: retainer hours for a VA, campaigns for an agency, sessions for a coach, episodes for a podcaster. For a broader overview of freelance setups, see our older Notion for freelancers workspace guide.
Virtual Assistant Studio OS: retainers, recurring tasks and client portals ($19)
The problem it solves: a VA with five clients needs to know, at any moment, how many retainer hours each client has used, what is due today and what to invoice at month end, without opening five different client folders.
Who it’s for: virtual assistants, online business managers and freelancers who manage several clients on retainers.
What’s inside: nine connected databases (Clients, Packages & Retainers, Tasks, Time Log, SOPs & Processes, Access Register, Invoices, Client Requests, Leads & Discovery Calls). Retainer maths on every client covers package hours, hours this month, hours remaining, % used, overage hours and fee, and the amount to invoice, with an On track / Nearly used / Over package flag. Recurring tasks per client (daily, weekly, monthly), a task flag formula (Overdue, Today, This week, Later, Done), an SOP library with a "Review due" flag after 90 days, a client request inbox by channel, and an Access Register that records who has access to which tool and when it was granted or revoked. There is no password field by design: passwords belong in a password manager.
Do it yourself in Notion: make each client page a mini portal. Open one client page, add linked views of Tasks, Time Log and Invoices filtered to that client, then save the layout as the Clients database template so every new client gets the same portal. Our post on the Notion template for virtual assistants has more detail.
Marketing Agency OS: clients, campaigns and reports ($19)
The problem it solves: content approvals stuck in chat threads, a sales pipeline nobody updates, and reports rebuilt from scratch every month.
Who it’s for: marketing agencies and marketing freelancers.
What’s inside: ten linked databases (Clients, Leads, Campaigns, Tasks, Content Calendar, Performance Reports, Time Log, Invoices, Team, SOP Library). Open tasks sorted by due date with overdue work flagged, a content approval board, a lead pipeline weighted by probability, a client roster with health, retainer and renewal date, campaigns on a timeline, performance reports that calculate return on ad spend, cost per lead and click-through rate from the numbers you enter, invoices grouped by status, hours by client, and a Monday and Friday rhythm for the agency.
Do it yourself in Notion: ROAS is a formula, prop("Revenue") / prop("Ad spend"), and cost per lead is prop("Ad spend") / prop("Leads"). Wrap each in if(prop("Ad spend") > 0, ..., 0) to avoid errors on empty rows. Read our marketing agency Notion template post for the full tour.
Coaching Studio OS: clients, sessions and programs ($19)
The problem it solves: coaches lose track of how many sessions each client has used, who has a balance due, and which homework was set last time.
Who it’s for: life, career, business, wellness and mindset coaches running 1:1 or group programs.
What’s inside: a studio dashboard with upcoming sessions, active clients with health flags and payments to chase; a client pipeline in 7 stages from lead to alumni; a hub page for every client; a progress bar from sessions used versus sessions in the package; client health (On track / Book next session / Balance due / Follow up); a session log with focus, wins, action items and homework; programs and offers with price per session and revenue collected; goals and milestones; invoices with Paid / Due soon / Overdue status; a content planner linked to offers; and a resource library.
Do it yourself in Notion: "sessions left" needs a relation from Sessions to Clients and a rollup that counts related sessions. Then prop("Package sessions") - prop("Sessions used") gives sessions left, and a status formula can return "Book next session" when there is no upcoming date.
An organising tool, not legal, financial or medical advice.
Personal Trainer OS: clients, programs and check-ins ($25)
The problem it solves: trainers juggle session packages, programs, check-in photos and payments across messaging apps and spreadsheets.
Who it’s for: personal trainers and online fitness coaches.
What’s inside: a dashboard with active clients, sessions this week, revenue this month and open leads; a client gallery with package, sessions done and remaining, last check-in and balance; a leads pipeline; packages and pricing (1:1, online, hybrid) with price per session; sessions with status; programs in Foundation, Build, Peak and Deload phases; an exercise library with muscle group, equipment, level, video link and coaching cues; check-ins and progress with change versus start; and payments with an overdue flag. Our Notion template for personal trainers post explains each part.
Do it yourself in Notion: "change versus start" is easiest with one stored number and one formula. Store a "Start weight" on each client at the first assessment, then in Check-ins add a rollup that pulls the client’s start weight through the Client relation and a formula prop("Weight") - prop("Start weight"). Every new check-in shows its change automatically.
Creator Studio OS 2027: content, brand deals and income ($19)
The problem it solves: creators plan content in one app, track brand deals in another and income in a spreadsheet, so the link between the work and the money gets lost.
Who it’s for: content creators, influencers, YouTubers, podcasters and newsletter writers, especially those who work with brands or take on clients.
What’s inside: a home dashboard (today, content, planner, money and clients); a content database with calendar, idea bank, evergreen vault and production board; platforms and analytics with an audience growth chart; tasks and a brain dump; weekly and monthly planners with income targets; a habit tracker; income, expenses and profit by month; a brand deals pipeline from pitched to paid; client portals; and a brand kit and rate card.
Do it yourself in Notion: add a "Repurpose" button to your content database template. A Notion button can create a new page in the same database with properties pre-filled (for example, Format = Short, Status = Idea) so turning a long video into clips takes one click.
Podcast Production HQ: episodes, guests and sponsors ($19)
The problem it solves: guest follow-ups, sponsor reads and clip schedules fall through the gaps between recording and release.
Who it’s for: independent podcasters, producers and small podcast teams.
What’s inside: an episode pipeline board (Idea, Booked, Recorded, Editing, Final review, Scheduled, Published) with a release countdown; a guest booking CRM with "Follow up now" alerts; sponsors with rate per read, reads booked and paid to date; ad reads tracked from script to aired, invoiced and paid with a 30-day payment-due flag; production tasks; a clips and promotion calendar; money in and out with net profit per show; and support for more than one show. Built-in automations (Notion Plus and up) stamp invoice, paid and post dates.
Do it yourself in Notion: a release countdown is dateBetween(prop("Release date"), now(), "days"). Put a board view grouped by Stage on your dashboard and show the countdown on each card.
Video Production Project HQ: shoots, shot lists and deliverables ($19)
The problem it solves: call sheets, shot lists, gear checks and revision rounds spread across documents, which is how extra review rounds go unbilled.
Who it’s for: video producers and small studios.
What’s inside: nine linked databases (Productions, Shoot Days, Shot List, Deliverables, Crew & Talent, Gear, Budget Lines, Invoices, Clients). Productions on a board from pitch to delivered, shoot days with call times and countdowns, a storyboard-style shot list, deliverables with version and review rounds left (extra rounds flagged), budget versus actual, and a gear gallery with condition checks.
Do it yourself in Notion: use a gallery view of your Shot List with "Card preview" set to the frame image property. Group the gallery by Status on shoot day and you have a visual checklist the whole crew can follow on a phone.
Freelancer Business Kit: five templates for freelancers and consultants ($59)
If you want a client-to-cash setup rather than a single studio template, this kit combines the Freelance Management System (clients, projects, invoices, income and expenses; $39 on its own), Freelance Projects & Client Onboarding (proposals, contracts, onboarding checklist, client log; $39), Sales CRM ($19), Finance Tracker for Business ($29) and 2,000 ChatGPT Business Writing Prompts ($9). Separately $135; in the kit $59.
Construction, architecture and interior design
Construction and design firms deal with phases, documents, subcontractors and money held back until the end. A generic project tracker doesn’t cover retainage, snag lists or certificates that expire. These templates do. Our Notion template for contractors post compares the construction templates in more depth.
Construction Management System: projects from kickoff to closeout ($79)
The problem it solves: budgets, subcontractors, materials, timelines and client communication tracked in separate places, so cost overruns surface too late.
Who it’s for: contractors, construction project managers and construction business owners.
What’s inside: a project dashboard with progress tracking, a material and inventory tracker with reorder alerts, cost management with budget versus actuals, a vendor and supplier database, contract tracking and document management, labour allocation and scheduling, an invoice generator linked to project costs, an architectural documentation hub, and a risk and issue log. It is also available in German and Portuguese editions.
Do it yourself in Notion: budget versus actual is a classic relation-rollup pair. Relate a Costs database to Projects, roll up the sum of Amount onto each project, then add a formula prop("Budget") - prop("Actual cost") and a filtered view "Variance is less than 0" to catch overruns.
Construction Safety & Compliance HQ ($29)
The problem it solves: expired certifications, toolbox talks with no attendance record, and corrective actions that never get closed.
Who it’s for: site managers and safety leads at small contractors, for US (OSHA) and UK/EU (HSE, CDM) teams.
What’s inside: eight linked databases (Sites, Workers, Training & Certifications, Toolbox Talks, Inspections, Incidents, Corrective Actions, Permits); cert expiry flags (expired, renew soon); overdue corrective actions; open incidents per site; permits expiring today; toolbox talk attendance linked to workers; ready-to-fill checklists as page templates; and three native automations that stamp dates (paid Notion plan needed).
Do it yourself in Notion: track attendance with a relation from Toolbox Talks to Workers (multiple workers per talk). A rollup on Workers that counts related talks shows who is behind.
An organising tool, not legal or safety advice. Check your duties with a competent safety adviser.
Snagging & Handover HQ ($29)
The problem it solves: handover drags on because snags, O&M manuals, as-built drawings and certificates are tracked on paper, and retention money waits.
Who it’s for: contractors and project managers closing out projects, with sample data from UK, Ireland and EU examples.
What’s inside: seven linked databases (Projects, Areas & Rooms, Trades, Inspections & Walkthroughs, Snags, Handover Documents, Retention & Final Account); handover readiness per project; overdue snags; days to close per trade; open snags per room; handover documents including golden thread records for UK higher-risk buildings; retention held and received with an end-of-defects-period date; and three native automations (paid Notion plan needed).
Do it yourself in Notion: snag lists work best as a board grouped by Trade with a filter "Status is not Closed". Send each trade a shared link to a view filtered to their own snags.
An organising tool, not legal or contractual advice.
Subcontractor & Pay App HQ ($29)
The problem it solves: paying a subcontractor whose insurance has lapsed or whose lien waiver is missing, and losing track of retainage and change orders.
Who it’s for: general contractors and project managers who manage subcontractor pay applications.
What’s inside: seven linked databases (Projects, Subcontractors, Insurance Certificates, Schedule of Values, Pay Applications, Lien Waivers, Change Orders); revised contract, % billed, left to bill, retainage held, paid to date and outstanding per project; pay app amount due and days to pay; a compliance flag per sub (Hold payment, Waiver missing, COI renews soon); a lien waiver chase flag after 7 days; and four native automations (paid Notion plan needed).
Do it yourself in Notion: a "Hold payment" flag is a formula that reads a rollup. Roll up the latest COI expiry date from Insurance Certificates onto each Subcontractor, then if(prop("COI expiry") < now(), "Hold payment", "OK").
An organising tool, not legal, tax or financial advice. Lien waiver forms, retainage limits and prompt payment rules differ by state and contract.
Architecture Project HQ ($19)
The problem it solves: fees quietly overrun because hours are not tracked against phases, and drawing revisions and RFIs live in email.
Who it’s for: architects and small architecture studios.
What’s inside: eleven linked databases (Projects, Phases, Drawing Register, RFIs & Submittals, Site Photos, Precedents, Tasks, Time Log, Invoices, Clients, Consultants). A portfolio gallery with the current phase, fee used and days to the next deadline; a phase timeline from feasibility to construction documents; a site photo log; a precedents library; a drawing register by discipline, revision and status; RFIs from open to answered; and a fee-used warning before a fee runs over. Read our Notion template for architects post for more.
Do it yourself in Notion: a timeline view of Phases with "Show dependencies" turned on makes overlapping stages obvious. Use the Project relation as a sub-group to see one row per project.
Interior Design Project HQ ($19)
The problem it solves: FF&E schedules in spreadsheets that never match what was ordered, delivered and installed, and room budgets that drift.
Who it’s for: interior designers and design studios.
What’s inside: eight linked databases (Projects, Rooms, FF&E Items, Vendors, Clients, Tasks, Site Visits, Invoices). Projects as a lookbook, rooms with budget and amount spent, a product board with every specified piece as a picture, an FF&E tracker from approved to ordered, shipped, delivered and installed with the client price worked out from your markup, site visits on a calendar, and a pipeline from discovery to complete. See our interior design Notion template post.
Do it yourself in Notion: client price from markup is prop("Trade price") * (1 + prop("Markup %")). Roll up the sum onto Rooms to compare each room’s spend with its budget.
Property, real estate and short-term rentals
Property businesses run on dates and money: lease ends, rent due days, contract deadlines, check-ins and turnovers. These templates are organising tools, not legal, tax, financial or real estate advice; follow your lease, contract, local forms and brokerage rules.
Landlord & Property Manager OS ($35)
The problem it solves: independent landlords track rent in a spreadsheet, repairs in messages, receipts in a shoebox and lease end dates in their head. Net income per property is a guess.
Who it’s for: independent landlords and small property managers with long-term rentals.
What’s inside:
- A dashboard with three charts: rent collected by month, maintenance by status, net income by property.
- Properties with purchase price, value, mortgage, occupancy %, monthly rent roll, cash flow, net income, equity and gross yield.
- Units with status (Occupied, Notice given, Vacant, Make-ready), days vacant and lost rent so far.
- Tenants, and Leases with deposit, due day, grace days, late fee, renewal notice date and an expiry window (under 30, 31 to 60, 61 to 90 days).
- Rent Payments with an automatic status (Paid, Partial, Late, Due), balance and days late.
- Maintenance Requests with a work order board, Vendors & Contractors with an insurance certificate check, Expenses with a tax-deductible tick and a missing receipt check, Inspections with a suggested next date, and an Applications screening pipeline with an income-to-rent ratio, 3x rent check and a 0 to 100 screening score.
Do it yourself in Notion: the lease expiry window is a nested if: compute dateBetween(prop("Lease end"), now(), "days") in one formula, then return "Under 30", "31 to 60" or "61 to 90" in another. Group a board by that formula and renewals become a pipeline. Our Notion template for landlords post goes database by database.
Transaction Coordinator HQ ($49)
The problem it solves: a TC handling files for several agents must hit every contract deadline, chase every document and get paid for every file, usually from a spreadsheet and a calendar.
Who it’s for: independent transaction coordinators, and agents who run their own contract-to-close.
What’s inside: eight connected databases (Transactions, Deadlines & Milestones, Documents, Contacts, Agents, Tasks, Communication Log, TC Fees); a dashboard with files by status, fees by status and closings by month, plus sections for this week, active files, closing calendar, documents outstanding and fees; days to close and closing status (Overdue, This week, On track, Closed) on every file; milestones % complete; days left and overdue flags on every deadline and task; a docs outstanding count; and agent pages with every file and fee.
Do it yourself in Notion: "Milestones %" is a rollup with the built-in "Percent checked" calculation. Relate Deadlines to Transactions, add a "Done" checkbox to Deadlines, then roll it up on Transactions using "Percent checked". No formula needed. See our Notion template for real estate agents and transaction coordinators.
Real Estate Deal Tracker OS ($29)
The problem it solves: investors and wholesalers lose track of offers, counter-offers and due diligence across dozens of properties at different stages.
Who it’s for: real estate investors, agents and wholesalers.
What’s inside: a property database, a deal pipeline from lead to close, an offer and counter-offer tracker, financial analysis per property (purchase price, ARV, repair estimate, ROI), a due diligence checklist, a contacts database for sellers, agents and lenders, a task and deadline tracker per deal, and a portfolio overview dashboard.
Do it yourself in Notion: put the due diligence checklist inside a database template for Deals, so every new deal starts with the same list of checks.
Airbnb Host Management System: bookings, turnovers and payouts ($19)
The problem it solves: hosts with several homes juggle booking calendars, cleaner schedules, guest messages and supplies, and don’t know what each home really earns after fees.
Who it’s for: short-term rental hosts. (This is an independent template and is not affiliated with Airbnb.)
What’s inside: nine linked databases (Properties, Bookings, Guests, Turnovers, Maintenance, Expenses, Supplies, Team & Vendors, Guest Messages). Property cards show what each home earns after cleaning fees, platform fees and costs; upcoming arrivals are listed soonest first across channels; a booking calendar and stay timeline; guest message scripts for each stage; a turnover with a checklist for every checkout; supplies that flag themselves for reorder; repairs by priority; and payouts by channel.
Do it yourself in Notion: add a button to each booking that creates a Turnover page with the property and checkout date pre-filled. One click after each booking and your cleaner’s list is ready. More in our Airbnb host Notion template post.
Ecommerce, retail, restaurants and repair shops
Product businesses need stock, suppliers and margin maths. The question "did we make money this month?" should take a glance, not an evening. Profit, fee and ROAS figures in these templates are estimates for planning; they are organising tools, not financial or tax advice.
FBA Seller HQ: products, restocks and real profit ($29)
The problem it solves: FBA sellers run out of stock because they reorder too late, and overestimate profit because landed cost, fees, refunds and ads are tracked in different places.
Who it’s for: Amazon FBA sellers and other marketplace sellers who use fulfilment by the marketplace.
What’s inside:
- Product Research with estimated profit, margin %, ROI and a 0–100 score that also weighs search volume and competitor reviews.
- Products with SKU/ASIN, sell price, unit cost, FBA fee, referral fee % and shipping-in per unit; profit per unit, margin and landed cost calculate themselves.
- A restock radar: a "Reorder?" flag turns on when units on hand plus inbound fall to your reorder point.
- Suppliers with MOQ and lead time, Purchase Orders from Draft to Received, and Inbound Shipments with days in transit.
- Monthly Sales with net profit after landed cost and TACoS, PPC Campaigns with ACoS, ROAS and an ACoS check against your target, and Expenses.
Do it yourself in Notion: a reorder flag is if(prop("On hand") + prop("Inbound") <= prop("Reorder point"), "Reorder", ""). Make "Inbound" a rollup that sums units on open purchase orders and the flag stays current without manual edits. Read the Notion template for Amazon FBA sellers guide.
Dropshipping Business HQ: product research to true profit ($29)
The problem it solves: a dropshipper sees revenue in the store dashboard but not true profit after ad spend, fees and refunds, and can’t tell which ad campaigns lose money.
Who it’s for: solo dropshippers and small store owners.
What’s inside: a dashboard with net profit by month, orders by fulfilment status and average ROAS by platform; Product Research with an estimated profit, margin and a 0–100 score; Products with profit per unit, break-even ROAS, net after ads and a health flag; Suppliers; Customers with lifetime value and tier (New, Repeat, VIP); Ad Campaigns with ROAS, CPA, CPC and conversion rate and a verdict (Profitable, Break-even, Losing money); Returns & Refunds; Expenses; and a Monthly P&L. Six working sections and 40+ views.
Do it yourself in Notion: break-even ROAS is 1 / prop("Margin") when margin is stored as a decimal. Compare it with each campaign’s actual ROAS in a formula that returns "Losing money" when actual is below break-even. See the Notion template for dropshipping post.
Ecommerce Business Management System ($69)
The problem it solves: multi-channel sellers manage orders, inventory, customers, suppliers and cash flow across several spreadsheets.
Who it’s for: Shopify, WooCommerce, Amazon, Etsy and multi-channel sellers.
What’s inside: an order management dashboard with status tracking, an inventory tracker with low-stock alerts, a product catalogue with pricing and variants, a customer database with order history, a returns and refunds tracker, a supplier database, a financial dashboard with revenue, costs and profit by channel, and a launch planner for new products. For a fuller kit, the Online Store Owner Kit ($69) adds the Finance Tracker, Social Media Marketing, Sales CRM and 2,000 business writing prompts.
Do it yourself in Notion: a "Low stock" view is just a filter. Add a formula prop("Stock") <= prop("Reorder level") (it returns a checkbox) and save a view filtered to it on your dashboard.
Retail Store HQ: shop floor, back room and till ($25)
The problem it solves: independent shops track stock on paper, cash-up in a notebook and staff rotas in a group chat.
Who it’s for: independent boutiques, gift shops and small store teams.
What’s inside: Products & Inventory with unit cost, retail price, margin %, stock value, reorder point, weeks of cover and a stock status that says "Reorder now" or "Out of stock"; a floor-plan board by location; Suppliers with lead time and terms; Purchase Orders with a late flag; Daily Sales & Cash-up with net sales, a till check (Balanced / Check till), average sale and conversion from footfall; Staff & Shifts with automatic labour cost per shift; Promotions; and opening, closing and weekly checklists.
Do it yourself in Notion: a till check formula compares counted cash with expected cash: if(prop("Counted cash") == prop("Expected cash"), "Balanced", "Check till").
Restaurant & Cafe OS: menu costing, stock and shifts ($19)
The problem it solves: food cost and labour percentage are the numbers that decide whether a cafe survives, and most owners only see them at year end.
Who it’s for: cafe and restaurant owners.
What’s inside: nine linked databases (Menu Items, Ingredients & Stock, Suppliers, Purchase Orders, Staff, Shifts, Daily Sales, Waste Log, Checklists & SOPs). Opening, closing and food safety checklists; a reorder list; a rota calendar with the labour cost of each shift; daily sales with average check, labour percentage and prime cost; a menu gallery with food cost, margin and a menu class for every dish; waste logged by reason; and purchase orders from draft to paid.
Do it yourself in Notion: food cost % is a rollup and a formula. Relate recipe ingredient lines to Menu Items, roll up the sum of line cost, then prop("Plate cost") / prop("Menu price") formatted as a percent. See our restaurant management Notion template post.
Automobile Repair Management System ($19)
The problem it solves: repair orders on paper, declined work never followed up, and parts stock that is never quite right.
Who it’s for: independent auto repair shops, garages, mechanics and service advisors.
What’s inside: eight linked databases (Repair Orders, Line Items, Customers, Vehicles, Parts Inventory, Services Catalog, Technicians & Staff, Service Reminders). A shop floor board in nine stages from Booked to Closed; repair orders covering estimate, approval, invoice and payment; line items for labour and parts with automatic totals (unit price and cost are saved on each line, so changing a price later never rewrites old jobs); stock that updates as parts are used; customers and vehicles with service history; technician hours and efficiency; and a follow-up call list for declined work and service reminders.
Do it yourself in Notion: the "price saved on each line" idea is worth copying in any business. Instead of a rollup that always reads the catalogue’s current price, store the price as a number on the line item when you create it, so old invoices stay accurate.
Events, weddings, travel and nonprofits
Event Planning Studio OS ($19)
The problem it solves: planners running several events at once lose track of run-of-show times, vendor details, budget lines and client payments.
Who it’s for: event planners and coordinators, corporate, party and wedding planners, and venue teams.
What’s inside: a studio dashboard with upcoming events, open tasks, fees to collect and spend by category; an event hub page for every event with run of show, tasks, budget lines, guest list and payments together; an automatic countdown, prep progress bar and budget health (On budget / Watch / Over); run of show with clock times, owners and cue notes; a planning tasks board by phase; planned versus actual budget with variance; client fees with deposit, instalments and balance due; a vendor directory; and guests and RSVP with meal choices and table numbers.
Do it yourself in Notion: a prep progress bar is a rollup using "Percent checked" on a Done checkbox in related tasks, displayed as a bar.
An organising tool, not legal or financial advice.
Wedding Planner Studio ($27)
The problem it solves: each couple brings their own checklist, budget, guest list, vendors and timeline, and the planner retypes the same details in five places.
Who it’s for: professional wedding planners running a planning business.
What’s inside: eight linked databases; a home dashboard with upcoming weddings, next tasks, payments to collect and revenue by package; a client pipeline in 7 stages from inquiry to thank-you card; a hub page for every couple with a live countdown, progress ring, checklist, budget, guests, run of show, invoices and mood board; a planning checklist sorted by months out with automatic Done / Overdue / This week status; a vendor directory; budget and bookings with balance due; studio invoices; guests and seating; a run of show to the minute; and mood boards with an "approved by couple" checkbox. Read our wedding planner business Notion template post.
Do it yourself in Notion: "months out" is dateBetween(prop("Wedding date"), prop("Due"), "months") on each checklist item, using a rollup to bring the wedding date across from the couple’s page.
Travel Agency OS ($19)
The problem it solves: supplier options expire, passport checks are forgotten and commissions go untracked.
Who it’s for: independent travel advisors.
What’s inside: nine linked databases (Clients, Inquiries, Trips, Itinerary, Bookings, Suppliers, Client Payments, Tasks, Playbooks). Open tasks and held supplier options with an alert before an option expires; upcoming departures with days to go and payment status; a trip timeline; an inquiry pipeline weighted by budget and probability; client cards with travel style, preferences and a passport check reminder; deposits and balances due; a commission tracker; sales by booking type; and a playbooks library.
Do it yourself in Notion: store each supplier option’s expiry as a date and add a linked view on your home page filtered to "Option expires is within the next 3 days". See our travel agency Notion template post.
Nonprofit Organization HQ ($29)
The problem it solves: small nonprofits track donors in one spreadsheet, grants in another and volunteer hours on paper, so reports to the board take days.
Who it’s for: small nonprofits, community groups and charities.
What’s inside: a dashboard with donations by month, grant pipeline by stage and volunteer hours by program; Donations with restricted or unrestricted fund, a recurring flag, receipt status and thank-you tracking; Campaigns & Appeals with % to goal and days left; Grants from Researching to Closed with deadlines, report due dates and weighted value; Programs with funding gap, reach and cost per person; Volunteers with hours given and recognition level; Volunteer Shifts (only completed shifts count); Events with net raised; Board & Meetings with a decisions register; and Tasks with an overdue flag.
Do it yourself in Notion: "only completed shifts count" is a rollup with a filter. Notion rollups can’t filter on their own, so add a formula on Shifts, if(prop("Status") == "Completed", prop("Hours"), 0), and roll up the sum of that formula instead of raw hours.
An organising tool, not legal, tax or accounting advice. It tracks whether receipts were sent but does not issue official tax receipts.
Life, career and study templates for 2027
Business owners have lives too, and plenty of our buyers start with a personal template before moving their work into Notion. These are the most useful for the new year.
2027 Life Planner ($19)
The problem it solves: yearly goals set in January and forgotten by March, because nothing connects the goal to this week’s tasks.
What’s inside: Life Areas rated 1–5 with a 2027 vision; Goals by quarter with progress that fills as projects are done; Projects; Tasks that say Today, Upcoming, Overdue or Someday; a Habit Log with five daily habits, mood and a habit score; weekly, monthly, quarterly and year-end reviews already on the calendar; twelve month pages; and charts for goals by status, tasks by priority and days by mood.
Do it yourself in Notion: goal progress is a chain: Tasks roll up into Projects (percent done), and Projects roll up into Goals (average of project progress). Two relations and two rollups, no complex formulas.
Student Semester Planner 2027 ($14)
What’s inside: seven connected databases (Semesters, Courses, Class Schedule, Assignments, Exams, Study Sessions, Notes & Resources); real weighted-grade maths rolled up into current grade %, letter grade and 4.0-scale grade points; an automatic semester GPA; exam countdowns with a prep board; and a study log turned into hours per course. See our Notion student planner template post.
Do it yourself in Notion: weighted grade per assignment is prop("Weight") * prop("Score"); roll up the sum onto Courses and divide by the sum of weights completed so far.
Job Search HQ ($12)
What’s inside: eight connected databases covering a pipeline from Wishlist to Offer with an automatic next action, applications with salary range and the resume you sent, interviews with a prep checklist and a thank-you reminder, a networking CRM with follow-up alerts, companies with a fit score, side-by-side offer comparison on total compensation, resume versions with response rate, and a STAR interview question bank. Read the Notion job search tracker template post.

The kit teaches skills and gives you a plan; it does not promise any income. Our post on how to sell Notion templates with AI explains how it works.
How to set up a Notion template in 10 minutes
Every template above is delivered the same way: a PDF with a Duplicate link. Here is a routine that gets you from purchase to a working workspace in about ten minutes.
- Minute 1: log in first. Open Notion in your browser and sign in to the workspace you want to use. Duplicating while logged out is the most common reason a link "doesn’t work".
- Minute 2: duplicate. Open the link from your PDF and click Duplicate at the top right. Choose your workspace. The template appears in your sidebar.
- Minutes 3–4: read Start Here. Skim the setup steps and the diagram of how the databases connect. This saves you from deleting a database something else depends on.
- Minutes 5–6: explore the sample data. Open one sample record (a client, a matter, a property) and look at how its related tasks, invoices and dates appear on its page. This is the fastest way to understand the template.
- Minute 7: rename the options. Change status options, categories and packages to your own words. Renaming a select option updates every record using it.
- Minute 8: delete the sample rows. Select all sample rows in each database and delete them. Do not delete the databases themselves or the database templates.
- Minute 9: add one real record. Create one real client, job or property using the "New" button so the default page template is applied, then link one task and one invoice to it.
- Minute 10: pin the dashboard. Add the dashboard to Favourites and, if you use Notion on your phone, check the mobile view. Then set a recurring reminder for the weekly routine in the Start Here page.
If you get stuck, our Notion databases tutorial and 100 Notion formulas with examples cover the building blocks in more depth.
The five Notion building blocks behind every good template
Whether you buy a template or build your own, these five features do the heavy lifting. Once you understand them, you can adapt any template to your business.
1. Relations
A relation connects records in two databases: an invoice to a client, a task to a project, a payment to a lease. Turn on "Show on [other database]" so the link appears on both sides. Relations are what make a client page show that client’s invoices automatically.
2. Rollups
A rollup reads a property through a relation and calculates something: sum of invoice amounts, count of open tasks, latest check-in date, percent of milestones checked. Rollups replace almost all the copying and pasting people do in spreadsheets.
3. Formulas
Formulas turn data into decisions: days overdue, a status label, a margin, a progress bar. Useful functions to learn first are if(), dateBetween(), now(), round() and format(). Keep formulas short and chain them across two properties if they get long.
4. Linked views
A linked view shows a filtered, sorted copy of a database somewhere else, usually on a dashboard. "Invoices: overdue", "Deadlines: next 7 days" and "Tasks: today" are all linked views of the same databases. You can have as many as you like without duplicating data.
5. Buttons and database templates
Database templates pre-fill a new page with properties, checklists and linked views, and you can set one as the default. Buttons perform actions in one click: add a page with properties pre-filled, edit properties on the current page, or open a page. Together they make your routines repeatable. Native database automations (for example, "when Status changes to Paid, set Paid date to today") need a paid Notion plan; on the free plan you make the same edits by hand.
FAQ: Notion templates for small business
What is the best Notion template for a small business?
The best one is built for your industry’s core record and weekly questions. For general money tracking, Business Finance HQ is a strong start. For a business with staff, the Small Business Back-Office Kit covers HR, finance, sales and meetings. For specialised work, choose the industry template from the comparison table above.
Can I run a small business on the free Notion plan?
Yes, for most solo owners and small teams. All of the paid templates in this guide work on the free plan. Native database automations need a paid plan, and chart views may be limited on the free plan; the templates still work without them. Check Notion’s current plan limits for file uploads and guests if you collaborate with others.
Are paid Notion templates worth it?
They are worth it when the time you save designing databases, writing formulas and testing relations is worth more than the price. If you only need a to-do list, use a free template. If money, deadlines or clients depend on it, a tested template with documentation usually pays for itself quickly in saved setup time.
Can I customise a template after I duplicate it?
Yes. Once duplicated, the template is yours. You can rename properties, add databases, change views and remove anything you don’t need. Keep a copy of the original before major changes so you can compare.
Do I need to know formulas to use these templates?
No. The formulas and rollups are already built. You add records and the totals, flags and countdowns update. The do-it-yourself tips above are there if you want to learn how they work or extend them.
Can a whole team use one template?
Yes. Duplicate the template into a shared workspace or teamspace and invite your team. Use filtered linked views so each person sees their own tasks. Inviting full members may require a paid Notion plan, depending on how many people you add.
Are these templates legal, tax or medical tools?
No. They are organising tools. Templates for law firms, bookkeepers, therapists, landlords, contractors and nonprofits help you keep records and deadlines in order, but they are not legal, tax, accounting or medical advice. The therapist template is designed as a HIPAA-conscious workflow structure; check your own obligations before storing identifiable clinical records.
How are the templates delivered?
Instantly, as a PDF download with a Duplicate link (and, for most templates, a Setup Guide). Open the link while logged in to Notion, click Duplicate and follow the Start Here page.
